These Terms & Conditions ("Terms") govern your participation in WarmHeadstart workshops and your use of the WarmHeadstart website and community. By registering for an event or accessing our services, you agree to these Terms. Please read them carefully.
WarmHeadstart is a curated workshop and professional community format. We organise intimate, capped-seat events and facilitate ongoing professional communities for alumni. Our registered trading name is WarmHeadstart, operating from Sofia, Bulgaria.
Attendance at WarmHeadstart events is by application and invitation. Submitting an application does not guarantee a place. A seat is reserved only upon receipt of a signed booking confirmation from us. Full attendance is confirmed once all payments have been received in accordance with the schedule below.
Workshop fees are stated on the relevant event page and are specific to each event. Fees are exclusive of any applicable taxes unless otherwise stated. WarmHeadstart reserves the right to set different pricing structures for different workshops.
Upon acceptance of your application, we will issue an invoice. The following payment schedule applies unless alternative arrangements have been agreed in writing in advance:

The 30% seat deposit secures your place and removes it from availability to other applicants. It is non-refundable under any circumstances, including cancellation by you.
We understand that organisations may operate under specific procurement or payment approval processes. If you require a modified payment timeline — for example, a longer window to process the deposit or staged payments for the balance — please notify us in writing at the time of booking. We will accommodate reasonable requests where the full balance is still received no later than 14 days before the event. Any agreed variation must be confirmed by us in writing to be valid.

Cancellation requests must be submitted in writing to hello@warmheadstart.com. The notice period is calculated from the date we receive your written cancellation.
We reserve the right to cancel or reschedule an event due to insufficient registrations, venue unavailability, force majeure, or other circumstances beyond our reasonable control. In the case of cancellation by us, you will receive a full refund of all fees paid, including the seat deposit. In the case of rescheduling, you may transfer your booking to the new date or request a full refund. We are not liable for any travel, accommodation, or other costs you may have incurred.
WarmHeadstart events are designed to create conditions for frank, high-trust professional conversation. Every participant is expected to uphold the standards that make this possible.
All participants agree to:
WarmHeadstart reserves the right to remove any participant from an event, or revoke community access, for conduct that is harmful, disrespectful, or incompatible with our community standards. In such cases, no refund will be issued.
All content produced by WarmHeadstart — including workshop materials, session frameworks, templates, and website content — is our intellectual property and may not be reproduced, distributed, or adapted without our prior written consent.
Content shared by participants during workshops remains the intellectual property of the originating participant. By sharing content in a workshop session, participants grant WarmHeadstart a limited licence to refer to general themes and learnings (without attribution or identifying detail) for the purpose of improving future programming.
WarmHeadstart does not photograph, film, or record workshop sessions. No event content will be published on social media or in promotional materials without explicit participant consent. If we ever wish to use a testimonial or any attributed content, we will request written permission in advance.
To the maximum extent permitted by applicable law, WarmHeadstart's total liability to you for any claim arising out of or in connection with our services is limited to the amount you paid for the specific event giving rise to the claim.
We are not liable for any indirect, incidental, special, or consequential losses, including loss of business, profit, revenue, or opportunity, whether or not such losses were foreseeable.
Nothing in these Terms limits our liability for death or personal injury caused by our negligence, fraud or fraudulent misrepresentation, or any other liability that cannot be excluded by law.
These Terms are governed by the laws of the Republic of Bulgaria. Any disputes arising under these Terms that cannot be resolved by mutual agreement will be subject to the exclusive jurisdiction of the courts of Sofia, Bulgaria, except where mandatory consumer protection laws in your country of residence provide otherwise.
We may update these Terms from time to time. The current version is always available at warmheadstart.com/terms. Changes take effect when published. Your continued participation in our events or use of our services after changes are posted constitutes acceptance of the updated Terms.
